Over the coming weeks the BC Library Association will take all necessary steps to disassemble the 2020 BC Library Conference, including refunds for registrants, delegates, vendors, and sponsors. Refunds will also be processed for BC Library Conference pre-conference sessions. Your questions are important to us and we have assembled the answers we have so far, below in a FAQ.

As of today, all Exhibitors and Delegate refunds have been processed. It may take 10-14 days for the refund to show on your credit card statement. If you do not see a refund by April 15, 2020, please contact email@example.com.
Has the Conference been cancelled?
Yes. The 2020 BCLA Conference (April 15-17) has been cancelled, in keeping with directives from BC Health Minister, Adrienne Dix, to cancel any gathering larger than 250 people. The annual BC Library Conference is well over 250 people with events, meetings and forums running over five days. We appreciate the direction from the Health Minister as our primary concern is the ongoing health and safety of our members, the library sector, and our communities.
Will I get a refund?
Yes. Over the coming weeks the BC Library Association will take all necessary steps to disassemble the 2020 BC Library Conference, including refunds for registrants, delegates, vendors, and sponsors. Refunds will also be processed for BC Library Conference pre-conference sessions.
Who do I call or email to get a refund?
Our intention is to make the refund process as uncomplicated as possible. You shouldn’t have to do anything but look for the refund on your credit card statement or look for a cheque in the mail. In the rare situation where the method of payment was neither credit card nor cheque the BCLA office will be in touch to determine the best method for reimbursement.
We have complete lists of the people who have registered and paid for the conference or pre-conference sessions and will refund automatically from those lists. Refunds are made by reversing the method of the original payment. For example, if you paid by credit card your refund will be on your credit card. If you paid by cheque, a cheque will be mailed to you. If you haven’t received a refund by April 15th please contact Angie at firstname.lastname@example.org .
Do I need to cancel my hotel reservation?
No. Hotel reservations at the Sheraton Vancouver Airport Hotel, made for the 2020 BC Library Conference, have been cancelled. If you would like to keep the registration, please contact the hotel directly at 604-273-7878 and ask for the “in-house reservation team.” Have your previous confirmation number ready and they will set up a new reservation for you.
Will the Conference be rescheduled?
The next BC Library Conference will be April 21st to the 23rd at the Sheraton Vancouver Airport Hotel in Richmond BC. We don’t anticipate that the social, cultural and health issues associated with COVID-19 will be sufficiently resoved in time to plan a modified fall conference or to reschedule the cancelled conference. Instead BCLA will direct its efforts toward mounting the best possible conference for the library community in 2021.
Why don’t you just put the Conference online?
Currently the size of the BC Library Conference, including the number of sessions, number of speakers, and number of events, makes an online reproduction of the conference unmanageable. Additionally, BCLA does not have the infrastructure to support such a large online event. That said, the BCLA Board and staff will examine online possibilities for future conferences.
Will next year’s Conference be the same theme and speakers?
The goal of every BC Library Conference is to present information and foster discussions that are timely, current and immediately relevant to the BC library community. With this in mind BCLA will prepare a new “Call for Proposals” based on a new conference theme, in the fall of 2020 for the conference in April 2021. Many of the 2020 session submissions will continue to be important to the library community and we will invite those sessions to resubmit through the call for proposal process.
What about the AGM?
The BC Library Association is currently looking for a new date, location and potentially a new format for the Annual General Meeting. Our hope is to reschedule the AGM for a date before June 30th depending on the health and social implications of COVID-19.
